Administrator - Temp - £9ph - Central London Area of expertise*specialism To undertake administrative tasks to ensure the smooth running of the Unit, including processing mail, producing presentation materials eg PowerPoint, preparing and distributing papers for Council, Executive Board and other meetings, providing word-processing support, photocopying and managing the Units stationery requirements To maintain the Chief Executives diary To act as a first point of telephone contact for the Executive Assistant to the Chief Executive, dealing with basic enquiries, passing calls to the relevant person, taking messages etc To maintain data and information systems for the Unit in line with corporate knowledge management practices To coordinate follow-up processes on behalf of the Chief Executives Unit as required, issuing verbal or written reminders for information where necessary To make travel, accommodation and other arrangements for the Chief Executive and ensure that this information is passed on to the relevant person in a clear, concise and timely way To make practical arrangements eg room bookings, refreshments etc for Council and other meetings, and to communicate all information regarding these arrangements to the relevant people Relationship management To establish good relationships with all Executive Directors’ Executive Assistants Team management To play a full part in the five-person team that is the Chief Executives Unit
